How It Works
QR Item Tracker allows team members to check in by simply scanning a QR code — no physical contact, no manual input.
- Assign a unique QR code to a location, task, or event.
- When scanned, the QR code logs the check-in directly to your monday.com board.
- It can update a status, add a timestamp, or submit a form with user details and notes.
Step-by-Step Setup
Step 1: Set Up Your Event Tracker Board
Create a board in monday.com to manage your upcoming events and link each one to its corresponding registration form.
Add these columns:
- File – to store the generated QR code
- Link – where you’ll paste the monday form link for the event

Next:
- Use QR Item Tracker to generate a QR code for each item (event).
- Choose this automation: “When an item is created, generate a QR code and save it in this file. When QR is scanned, open this link.”

Step 2: Create a Registration Board
This second board will store all attendee submissions from your forms.
Add these columns:
- Name
- Company
- Phone Number
- Company Size
This board will act as your attendee database and automatically collect entries from the monday form.

Step 3: Create Your Registration Form
Create a monday form connected to your Registration Board (from Step 2) to collect attendee information.
Instructions:
- Set up the form to collect the required fields (name, email, etc.)
- Once the form is ready, copy the form link
- Go back to your Event Tracker Board and paste the form link into the “Link” column of the corresponding event

- Print the QR code saved in the File column
- Attach it to event flyers, tarpaulins, your website, or display it at the entrance of the event
Step 4: Print and Share Your QR Code
Every time an attendee scans the QR code, they’ll be taken directly to the form to register. Their information will be logged automatically in your Registration Board.
