How to track multiple Tracking Numbers in one item

In many cases, a single order doesn’t have just one tracking number—it may have several tracking numbers for the same shipment. For example, if a supplier ships items in multiple packages or couriers, each package will have its own tracking number. Tracking these separately can be time-consuming, confusing, and prone to errors when managed manually.

With Shipment Tracker Pro, you can enter multiple tracking numbers in one item. The app will then automatically create subitems for each tracking number and keep them updated in real time. This makes it easier to manage complex shipments in a single, organized view.

Step 1: Install Shipment Tracker Pro #

  • Go to the monday.com App Marketplace.
  • Search for Shipment Tracker Pro and install it to your account.

Step 2: Add the Shipment Tracker Pro Board View #

  • Open your board in monday.com.
  • Add the Shipment Tracker Pro board view.
  • In the settings tab, select the couriers you want to use (minimum: 1, maximum: 3).

⚠️ Don’t worry — you can still use more than 3 couriers. The selection only affects prioritization in our shipping API when multiple couriers are detected in one board. All unselected couriers will still work in the background.

Step 3: Prepare Your Board Columns #

  1. Create a test item in your board.
  2. Add a Text or Long Text column where you’ll enter multiple tracking numbers.
  3. Create a test subitem under the test item.
  4. Add the following columns to your subitems (these will be mapped to the automation):
    • Tracking Numbers – text column or long text column
    • Delivery Status – status column
    • Estimated Delivery – date column
    • Current Location – text column
    • Tracking Event – text column
    • Update Timestamp – date column
    • Courier – text column
    • Postal Code – text column
    • Recipient Country – text column
    • Notes – text column

Step 4: Set Up the Automation #

  1. Go to the Integration Center in monday.com.
  2. Search for Shipment Tracker Pro.
  3. Locate the automation: “When Tracking Numbers are added, create a subitem for each tracking number and auto-update its Delivery Status, Estimated Delivery, Current Location, Tracking Event, Last Update, Courier, Postal Code, Recipient Country, and Notes.”
  4. Map each subitem column you created earlier to the corresponding automation field.

⚠️ Important: You must have at least 1 test subitem sample created before setting up the automation. Otherwise, monday.com automation won’t detect the subitem columns.

Step 5: Enter Multiple Tracking Numbers #

  • Go back to your test item.
  • In the Tracking Numbers column, enter all the tracking numbers separated by commas (,).
  • Example: 123456789, 987654321, 567890123
  • Shipment Tracker Pro will automatically:
    • Create a subitem for each tracking number.
    • Continuously update delivery details such as status, courier, and location.

⚠️ Friendly Reminder: You can add multiple tracking numbers in one item, but we recommend keeping it to 25 or fewer per item for smoother performance.

⚠️ Editing one or several tracking numbers will regenerate the subitems.
